Training Administrator required to work in busy London Head Office
Salary:£17,000 - £18,000 per annum

PURPOSE OF ROLE:

To provide a high level administration service for all training needs for TSS (Total Security Services) Ltd incorporating liaising with any appropriate outside agencies, ensuring effective liaison with Company Trainers, appropriate Managers and venues.

KEY TASKS AND RESPONSIBILITIES:

Register new learners as appropriate and produce all documentation relating to Candidate Numbers, examination papers and documentation for external administration. Provide scanned images and signatures for external agencies. File as necessary.

To ensure that the Training and Qualifications database is accurately maintained. To arrange examination resits in a timely manner with accurate communication with all necessary stakeholders.

To liaise with trainers to ensure any requirements are met including, but not exclusively, all appropriate documentation, test sheets, training aids and handbooks.

To assist with examinations by invigilation and monitoring environment issues, maintaining requirements of external bodies.

Assisting with completing SIA applications, though liaising with trainers, training venues and existing staff, ensuring applications are completed correctly and in a timely manner.

Preparing bulk and individual applications for submission to the SIA ensuring accurate records are kept and where necessary Licence Dispensation Notices are issued and monitored.

To liaise with agencies and delegates with regard to arranging training and booking venues according to customer service standards and departmental processes. To maintain new systems to record qualifications as necessary.

Produce and distribute certificates and ID documents relating to the work of the department and company.

To attend training meetings and record and distribute necessary decisions in an accurate and timely manner.

To support the training department in the monitoring and issue of SIA licences through sourcing relevant data from systems. In particular checking expired and revoked licences and ensuring action is taken.

Participate in HR team work, e.g. general work and enquiries by telephone. Provide a high quality service to customers by telephone, e- mail and in writing to agreed customer service standards.

To provide records and produce reports as required.

Any other reasonable duties as required by your line manager.

RELEVANT SKILLS AND EXPERIENCE:
Previously work in an office environment as part of team with general HR and administration knowledge would be an advantage.

Must have good Microsoft Office skills. In particular this work will necessitate working on Outlook (including electronic diary), IE, Word, and Excel. Experience of PowerPoint would also be beneficial.

Able to prioritise and organise own work load and work within time constraints with accurate detail.

FURTHER DETAILS:
Successful applicants will be assigned to our Head Office. This is a full time role, Monday to Friday, 09:00 to 17:30. Some flexibility is also required due to business needs.

Remuneration is based on an annual salary. 22 days holiday plus 8 bank holidays. Some flexibility is also required due to business needs.
