Job Summary To oversee and direct all aspects of the hotels strategies of selling and executing concerning the areas of Conference and Events. Work with operations to ensure successful conference and banqueting and outside catering events for our clients. The Convention Sales Manager manages theprocurement and delivery of conference and meeting. The key job responsibilities of this role are: Co-ordination and monitoring of all meetings and convention Manage the standards and procedures of the department Conduct room familiarisations and site inspections Monitor competitor activities Ensure contracts are completed and revised Ensure maximum departmental Sales profit is achieved Maintain and develop contacts with business generators, meeting and conference planners, visitors/ Conference Bureau, travel agents, tour operators, airlines, corporate accounts Oversees the preparation, presentation and service of banquet food and beverage products to ensure highest quality at all times Use standardized form letters for use by all Conference & Banqueting staff as response to inquiries, tentative/ definite bookings, thank you, cancellations and re-bookings. Ensure appropriate letters are sent and filed. Actively solicit and book business following hotel standards. Meet with clients to work out the details of their functions. Escort clients through the property and highlight features of facility as well as available services. Visit external customers at their selected venues for Outside catering purposes to best establish their needs and allow for a successful event. Suggestively sell menus which meet the client's needs and maximize revenues. Where appropriate, entertain clients in the hotel outlets to sell the hotel facilities. Make reservations at non-peak times in order to allow the outlet to provide the best service. Adhere to all Accounting policies regarding payment Liase with the Executive Chef to plan special requests for clients and special event menus. Arrange introductions between the client and Chef. Welcome group contact upon arrival at function and ensure guest satisfaction Anticipate guests' needs, respond promptly and acknowledge all guests, however busy and whatever time of day. Promote positive guest relations at all times. Be familiar with all hotel services/features and local attractions/activities to respond accurately to any guest inquiry. Monitor and handle guest complaints Contact clients after scheduled functions to ensure guest satisfaction and to solicit re- bookings Conduct weekly B.E.O. review meetings; resolve any discrepancies and provide support when appropriate Attend designated meetings Foster and promote a cooperative working climate, maximizing productivity and employee moral Qualifications and Requirements Minimumtwo years in hospitality Excellent communication and written skills Ability to work irregulars hours, late evenings and weekends when appropriate Previous experience with an international or global organization Strong knowledge of the market Strong organization skills Effective interpersonal and influencing skills High level of business savvy, change management, negotiations skills, and issue resolution
