Our client is looking to employ a Secretary within their SA Marketing Department. The successfull candidate will be reporting to the Category Manager RTD's and Category Manager Key Performance Areas Include, but are not limited to: Handling of business and travel arrangements Acting as “gatekeeper” when scheduling/diarising meetings, appointments and key events Traffic controller for activities/projects of portfolio Liaison with internal partners Assisting with monthly reporting on sales and A&P budgets. Clear understanding of budget process: 1st & 2nd forecasting, Opex Management and variance reporting Maintain and manage information systems for the portfolio (fact sheets/releases/ info sheets/e-files) Performing admin tasks, including post, telephone and office equipment Effectively communicating and following up on urgent matters Handling confidential issues Generate and request SAP (New vendor applications, Purchase Requisitions, Purchase Orders for travel and other services) and other reports (budget per brand reports, promotional liquor report) Coordinating delivery and collection of all marketing related material (promotional material, banners, etc.) General secretarial duties Generate and request SAP and other reports In office support for out of office managers Control all procurement document processing Control stationary and promo liquor receipts, issues and stock Assist managers in management of their diaries Complete travel related requests according to policies and procedures Complete requests for typing, filing, document processing and other ad-hoc tasks Coordinate product competition entries with category ambassadors where relevant Assist with internet queries Reconsolidate brand expenditure (e.g. travel spend by brand etc) Diary, meetings and ad hoc functions co-ordination Coordinating delivery and collection of all marketing related material The successful candidate must preferably have the following experience/ skills: An appropriate tertiary qualification Energetic professional with a high level of confidentiality Must have at least 3-4 years proven admin experience Computer literate together with excellent organizational, interpersonal and communication skills (verbal and written) Must have the ability to work accurately under pressure SAP Knowledge (Requisitions) The ability to multi-task Computer literate (Word, Excel, PowerPoint, Internet and Email) Effective Time Management Applications process:
