Smollan Group requires a bubbly, vibrant personality, well presented and multi lingual individual to operate the switchboard effectively and efficiently and provide a reception service, projecting a positive company image This frontline role requires a corporate individual who will be responsible for the following: Effective management of reception (receiving visitors) Attend to visitors entering reception Locate and inform staff of visitors Arrange refreshments for visitors when required Handle queries/enquiries from visitors Effective operation of the switchboard Operate switchboard: Answer incoming calls promptly Transfer calls to required extensions Locate staff to take calls when necessary Answer internal calls Handle telephonic queries/enquiries when necessary Take messages and distribute to the relevant staff when required Call international numbers on request Report lines out of service to manager Effective co-ordination of courier services Phone courier service for collections when required Ensure that all documents are completed correctly Hand parcels to courier representative Order the relevant documents/containers from couriers where necessary Effective co-ordination of general / administrative duties Manage boardroom bookings Ensure boardrooms are prepared for meetings, i.e. refreshments, lunches, communications, stationary, etc. Request changes to the system regarding barring, name changes, passwords from the manager Effective teamwork and self- management Follow through to ensure that personal quality and productivity standards are consistently and accurately maintained Demonstrate consistent application of internal procedures Plan and prioritise, demonstrating abilities to manage competing demands Demonstrate abilities to anticipate and manage change Demonstrate flexibility in balancing achievement of own objectives with abilities to understand and respond to organizational needs Use your strong customer orientation and excellent telephone etiquette as the instrument to succeed in this demanding front line arena. Minimum Qualifications Grade 12 Experience 1-2 years switchboard/ reception experience
